This is an exciting time to join the Strategic Resource Options (SRO) team at Anglian Water as we progress towards Gate 3 for two new reservoirs in Lincolnshire and South Fens. An opportunity has arisen for a Document Controller to join the team, sitting within the Programme Management Office.
The role will require an organised and diligent individual, who will play a critical role in ensuring that documents and drawings are stored accurately across the SRO Programme. The Document Controller should be familiar with setting up and managing document control systems. You will be required to maintain, support and update existing document control / filling systems and ensure all document control KPIs are met. The role may also require additional administration tasks relating to the PMO operations, as directed by the Head of PMO.
Candidates should have a strong understanding of the Document Control function and will preferably have 3+ years’ experience working as a Document Controller on major, complex projects within the engineering sector. Candidates must be able to quickly understand and prioritise large amounts of incoming and outgoing documentation, they should demonstrate attention to detail, good communication skills and an ability to work effectively within a large, busy team, spanning across multiple organisations.
What will you be doing?
As a Document Controller your duties will be and are not limited to:

Manage and maintain the Electronic Document Management System (EDMS) of unique documents, compliant with the Document Control Procedure and standards

Collaborate with, support and train project teams on correct use of EDMS

Create templates and guide the team on their correct usage

Liaise with and distribute project related information to the project team and external parties

Review and maintain the accuracy of the records, editing where necessary to ensure they are up to date

Monitor and track document flow with project teams and accountable Project Managers using relevant analyses within the document management tools

Maintain confidentiality on sensitive documentation

Participate in audit and assurance processes as required

Report on document status as required

Troubleshooting any problems to do with the Document Control System

Provide advice on procedures of issue and methods of accessing the system

What does it take to be a Document Controller?
-
Sound knowledge of document management standards, processes and procedures (EG ISO 9001, ISO 19650)

Expertise of documentation processes within an engineering and construction environment and a knowledge of a typical project life cycle

Advanced working knowledge of Microsoft Office applications: Outlook, MS Teams, Word, Excel, PowerPoint, Power BI, SharePoint

Have been involved in building and creating Document Control systems (ProjectWise etc)

Strong attention to detail

Proven pro-active attitude

Strong organisational and prioritisation skills

Good verbal and written communication skills

Ability to work with speed and accuracy in a team
