As a Guest service assistant you will provide a support role to Evelyn staff, taking accountability for the Evelyn Partners stakeholders and all working areas within their domain, which will be within the internal office space, as well as support the Client Quarter and Guest Services Team when required. They will work closely with all service providers to ensure a seamless experience for the Evelyn Partners staff using the environment. They will also be a key point of contact for all users of the space and have in-depth knowledge of working practices and activities within the areas to provide functional and strategic support, serving as a coordination point for everyday tasks to the business.
The overall aim of the Office and Guest Services Support role is to have a positive impact on the internal working environment at Evelyn Partners, London. The role will provide a support role to Evelyn staff, taking accountability for the Evelyn Partners stakeholders and all working areas within their domain, which will be within the internal office space, as well as support the Client Quarter and Guest Services Team when required. They will work closely with all service providers to ensure a seamless experience for the Evelyn Partners staff using the environment. They will also be a key point of contact for all users of the space and have in-depth knowledge of working practices and activities within the areas to provide functional and strategic support, serving as a coordination point for everyday tasks to the business the role include: –
• Owner and main point of contact on designated floor(s) overseeing the daily operational
services
• Provide a focal point for all working areas at Evelyn and be seen by occupants of the floor as
customer focused and a “fixer”.
• Carry out regular checks of all working areas within their domain. This includes the welfare
areas including stock of all necessity items, vending machines and social games.
• Responsibility for the cleanliness of all meeting rooms, collaboration areas and bookable
spaces.
• Conduct regular checks of the printer areas making sure there is adequate paper and toner for
the printers and the stationery supply is replenished from the central stock.
• Keep an accurate record of all checks including appropriate information such as occupancy,
usage of resources and issues.
• Take responsibility for left and lost items within the areas; liaising with the on-site security team
but also keeping a record of items left on agile desks.
• Be proactive in reporting all housekeeping and maintenance issues promptly and continue to
follow up on flagged issues through until resolution with escalation to your line manager as
appropriate
• Provide administrative support to the Evelyn team and support with the day-to-day tasks and
responsibilities
• Be available in a visible area at peak arrival time for users, to assist with finding available
workstations and educate users of the smarter working areas as required to encourage
collaboration.
• Ensure awareness and adherence to policies within the agile and smarter working areas and
take a hands-on, diplomatic approach with users who do not follow policies as expected.
• Be the first point of contact for all queries and be able to offer advice on the spot or follow up
with support and information as required in a timely manner, appropriate to the circumstances.
• Work alongside the reception team in playing a crucial role in keeping internal meeting rooms
effectively utilised, be able to address any customer queries that may arise and defuse
sensitive situations calmly and effectively.
• Educate users on the room booking system and encourage smarter working practices and
adherence to the rules in place.
• Keep a record of, allocate and maintain all storage capacity on the floors, including lockers
provided for the users and take action with regards to leavers and joiners and their storage.
• Ensure that you are Security conscious. Be aware of and ensure that Evelyn users always
follow security access control policies and have confidence in addressing this when it does not
happen.
• Take an active role in any project work around future smarter working developments at Evelyn.
• Work with the business representatives to improve the working areas they are responsible for,
from basic tasks such as updating the notice boards through to advising on future projects and
departmental working strategies.
• Work with your Manager to assist in the development of the services and embrace change
across Evelyn delivering services to the satisfaction of the client and in line with the
contractual agreement.
• Be knowledgeable on agile working practices outside Evelyn be able to advise and make
suggestions on future developments.
• To be a flexible role, and assist with Guest Services duties, including Reception, meeting room
bookings, to be determined by the Team Leader when required.
• Assist with Facilities administration where required by the Client
• To assist with Security pass printing, and to assist the Business Analyst role as and where
required (to be determined by the Team Leader when required).
• Immaculate dress and appearance at all times by following the Portico standards
• Be reliable, flexible, honest and a strong advocate for Portico and Evelyn.
• At all times ensure you provide a consistent service.
• Be a fire marshal for your domain (tbc if required)
• Be a first aider for your domain (tbc if required).
