Assistant Society Secretary – Nottingham

Contract type: Permanent 

 Hours: Full-time, 35 hours  

 Location: Head Office, Nottingham (Hybrid working, minimum 2 days per week) 

 Salary: Up to £50,000 depending on experience

We’re looking for someone to join us as an Assistant Society Secretary, working closely with the Deputy Society Secretary to help strengthen and embed effective governance across the organisation. We are open to considering candidates with less experience for a more junior version of this role – if this is you, please let us know when applying. Regardless of your experience level, you’ll play a vital part in supporting the smooth running of our Board and its committees, keeping statutory records up to date, and ensuring we meet legal and regulatory obligations.

Here’s a taste of what you will be doing as an Assistant Society Secretary at Nottingham Building Society – 

  • Secretariat Support: Assist the Deputy Society Secretary with secretariat duties, including preparing and distributing Board and committee agendas and papers.
  • Meeting Coordination: Ensure timely scheduling, document circulation, and assist with minute-taking for Board and Exec-level meetings.
  • Action Tracking: Monitor and follow up on meeting action points, keeping stakeholders updated.
  • Records & Compliance: Maintain statutory and other registers and submit regulatory filings to the FCA, LSE and other such bodies.
  • AGM Support: Help plan and deliver the AGM, ensuring all legal and procedural requirements are met.
  • Governance Development & Projects: Contribute to policy updates, research best practices, and support governance initiatives e.g. creating and maintaining governance systems, tools and workflows.
  • Stakeholder Engagement: Build strong relationships with senior leaders, the wider Legal, Regulatory and Procurement function and external advisors.
  • Insurance: Support corporate insurance renewals and claims coordination.
  • Customer Service: Promote a culture of excellent service and collaborate across teams to meet SLAs.
  • Risk & Compliance: Identify and report risks, support data analysis, and ensure health & safety compliance.
 About you –
 
  • Governance Expertise: Strong understanding of corporate governance principles and regulatory requirements.
  • Organisation & Detail: Excellent time management and attention to detail, with a focus on accuracy.
  • Stakeholder Engagement: Confident working with senior leaders and maintaining confidentiality.
  • Communication & Collaboration: Clear communicator with strong interpersonal skills; works well independently and in a team.
  • Experience & Tools: Previous governance or secretariat experience; familiarity with governance software is a plus.
  • Mindset & Attitude: Curious, proactive, professional and accountable, with a drive to learn and make things happen.
  • Qualifications: Degree or professional qualifications in law, business, or governance are desirable but not essential.
