We have an exciting opportunity for a Company Secretarial Assistant to join our team within Vistry Services, at various locations across the business. As our Company Secretarial Assistant, you will support in the provision of a comprehensive and professional company secretarial service to the Group’s Residential Management Companies (“RMCs”), ensuring that all statutory, corporate and other regulatory compliance requirements are met with, and that information required by the PLC Board and Executive Leadership Team is timely, accurate and well presented.
You will assist the Senior Governance & Secretariat Manager and work closely with the other team members in supporting the team’s needs.

- Educated to degree level and part or full ICSA qualified (or committed to working towards this qualification)
- Detailed working knowledge of company secretarial software
- Working knowledge of Companies Act 2006
- Previous experience working in the construction/housing industry desired
- Company secretarial experience, to include subsidiary management
- Highly organised, process driven and detailed-oriented with
- the ability to work effectively under pressure and handle conflicting demands
- Strong communication skills and ability to interact confidently with people at all levels
- Keen interest in complex situations impacted from different and unexpected angles
- Analytical skills, with the ability to think around an issue, understanding the broader implications, devise a creative solution and proactively take the necessary action
- Self-motivated, as well as a strong team player with a keen sense of ownership and desire for continuous improvement
- An ability to establish credibility with and inspire confidence in all stakeholders, and to exercise judgment in dealing with sensitive and confidential issues
- Accurate with an eye for detail
- Can demonstrate the ability and willingness to take on new responsibilities
More about the Company Secretarial Assistant role…
- Review the Group’s current RMCs ensuring compliance with company legislation, the Group’s Management Company Guidance, and any other regulatory requirements.
- Ensure there is a Managing Agent appointed to each RMC and in instances where this is not the case work with the regions to appoint a Managing Agent in accordance with the Group’s Management Company Guidance.
- Oversee the migration of the Group’s RMCs on to an entity management software.
- Maintain the statutory records and minute books and manage the annual reporting requirements for all Group’s RMCs.
- Liaise with regions and action requests for the incorporation of new RMC’s ensuring the Group’s Management Company Guidance is adhered to.
- Liaise with appointed Managing Agents or Group Finance on the production of annual accounts, ensuring these are produced, signed, and filed ahead of any submission deadline.
- Prepare a list of all the Group’s RMCs for inclusion in the Group’s Annual Report and Accounts.
- Additional roles and responsibilities to meet the business meet needs.
